Position Title: Director of Administration, Salzburg Global Seminar

Location: Salzburg, Austria
Additional offices in Washington, DC; Middlebury, VT; Vienna, Austria; and London, UK

What we are looking for: The Salzburg Global Seminar is looking for a highly organized, quick learner with international experience to serve as the Director of Administration at our Salzburg, Austria office. This position reports directly to the Chief Financial Officer (CFO) in Washington, DC, operates with a significant degree of delegated authority and is a full-time position. The Director of Administration works on high-level projects and must be a results-oriented, with strong multi-tasking, communication, human resource and project management skills. S/he facilitates effective planning and communication between the key operating units located on the Salzburg campus - Program, Finance and Hotel Schloss Leopoldskron. This position requires a creative problem solver who is comfortable with detail and driving effective execution. The ability to deal openly with colleagues while maintaining confidentiality when required is a critical requirement for this position.

Specific Responsibilities Include:

Human Resources – oversees all Human Resource requirements for the organization’s program, marketing and administrative staff in Salzburg, Austria. This position requires cultural and language skills necessary to interact in English and German with international staff from varying parts of the world. Sensitivity to others’ needs and viewpoints alongside an ability to provide clear direction and act decisively when required are skills one must bring to the position.

Supervisory and Financial Responsibilities – manages staff responsible for handling admission, registration and travel services for international participants in the Salzburg Global Seminar programs. This responsibility includes compliance with grant and scholarship guidelines working in conjunction with the CFO and multiple Program Directors who oversee Salzburg Global’s educational sessions and initiatives. The Director of Administration also supports the CFO in the preparation of annual budgets.

Office Management – ensures that the various business functions with Salzburg Global operations work effectively through transparent leadership, early identification of issues, and development of collegial solutions. This position supports effective forward planning and operating exchange among the Program, Hotel and Finance offices.

Project Management – provides management as required for the CFO and President’s Office on projects including oversight of the Salzburg Global’s library, database security and oversight, facility renovations and others as required.

Skills & Qualifications:

  • University degree and a minimum of 7+ years of relevant experience.
  • Strong human resources and project management skills.
  • Facility in developing and using financial spreadsheets including Excel
  • Demonstrated experience in project management.
  • Experience working with colleagues at senior and more junior levels in prioritizing and managing work flow.
  • Ability to anticipate issues and take initiative on finding solutions.
  • Flexibility to deal with urgent requests without derailing longer term priorities.
  • Excellent written and oral communication in both English and German.
  • Proficiency in Microsoft Office software and internet search skills.
  • Basic understanding of IT functions.
  • Enthusiasm for global mission and issue focus of the organization.
  • Comfortable working with people from diverse cultures and willingness to accommodate staff in other time zones.
  • Experience in working in an international organization highly desirable.
Compensation:

The Salzburg Global Seminar offers a salary that is competitive with similar positions in other non-profit organizations and will be commensurate with experience. Salzburg offers an attractive benefits plan that is fully commensurate with the laws of Austria. Candidates must have EU citizenship or a permit allowing them to work in Austria. Position Title: Manager, Office of the President, Salzburg Global Seminar

Location: Washington, DC

What we are looking for: The Salzburg Global Seminar is looking for a highly organized, quick learner with international experience to serve as the Manager, Office of the President at our Washington, DC office. This position reports directly to the President & CEO and manages the day to day activities of the President’s Office. S/he will support the Chief Development Officer and Chief Financial Officer as needed and as it relates to the work of the Office of the President. A result-oriented multi-tasker with strong communications skills, s/he facilitates effective planning and communication among Salzburg’s international offices, as well as between management and a global Board of Directors. This position requires a creative, yet detail oriented self starter who will be the lead person in preparing for three Board of Directors meetings annually, as well as associated events.

Specific Responsibilities Include:

  • Manage work flow for the Office of the President, including control of schedule, tasking and priorities; reviewing mail; drafting correspondence including letters, memos, presentations, board business notes, and meeting summaries. (40%)
  • Lead person in conceptualizing and planning three annual board meetings – November in Washington, June in Salzburg, and March in a rotating location – one telephonic board meeting, and occasional telephonic committee meetings. (20%)
  • In coordination with the Development team, strategize and organize the President’s fundraising trips including logistical arrangements, meeting coordination, follow up etc. (15%)
  • Support president in his role as organizational spokesperson and provide leadership in preparing for external meetings, domestic and international travel, events, interviews, and fundraising calls. (10%)
  • Provide point of contact, information and referral for directors, organization partners, funders, press, and other organizational stakeholders. (5%)
  • Collaborate with the President on Board governance procedures. (5%)
  • Administrative liaison with Washington office management. (5%)
  • Special projects as assigned.

Skills & Qualifications:

  • Bachelors Degree and a minimum of 4 years of relevant experience or equivalent combination of education and experience.
  • Exceptional organization skills with attention to quality control.
  • Experience working with senior executives in managing multiple priorities and heavy work flow.
  • Ability to anticipate forthcoming priorities and take initiative on assignments.
  • Ability to deal with rapidly shifting priorities.
  • Excellent written and oral communication skills essential.
  • Familiarity with Microsoft Office software and internet search skills.
  • Basic understanding of IT support.
  • Knowledge of Board procedures and governance practice desirable.
  • Flexibility for occasional domestic and international travel.
  • Enthusiasm for global mission and issue focus of the organization.
  • Comfort working with people from diverse cultures in multiple time zones.
  • Experience living overseas/working in an international organization highly desirable.
  • Fluency in a second language desirable.
